A Newsletter from LegalSuite Software

We are constantly adding new features to the LegalSuite Program.  It is therefore important to do a Live Update on a regular basis - we suggest at least twice a month. This will ensure that you always have the latest version of the program and will assist us in supporting you. If you are on an older version, it is sometimes difficult for us to re-create your errors as we don't keep copies of the older versions.  In this instance, we will often advise you to run a live update before we will be able to assist you.

Know your program

Using Templates in your Emails

We have added a new function to the email facility in LegalSuite.  Instead of typing out repetitive email from scratch every time, you can now save them as a "template" and re-use them over and over again. What's more exciting, is you can use Merge Fields in the Templates so the email can automatically extract information from the Matter and insert it in the body of the email.

How it works:

When sending an email from the "Parties for the Matter" screen:

Highlight the party you wish to email and click on the Email button The following screen will

appear:

Click on the Use Template button

The following screen will appear:

Select the template you wish to use from the list and the message will now appear in the body of your Email:

RAF

LegalSuite's Road Accident Module

Whether you are working on behalf of the fund or making claims against the fund, the LegalSuite RAF module will assist you by automating many of the mundane, repetitive tasks involved in this type of work. 

With this module you can:

        Record the details of multiple claims per application
·        Assemble and print the standard RAF forms
·
        Generate letters to doctors, hospitals, police and insurance companies.
·
        Set reminders to attend to the file in the future
·
        Debit fees according to the RAF scale of tariffs
·
        Generate reports to manage your files

Tip of the Day

Time Recording - F10


Attorneys involved in Commercial, Matrimonial and Criminal work usually bill their clients according to an hourly rate. These fee earners need a simple method to record the time spent on a matter so that the client can be billed accordingly.

LegalSuite has the ability to record time "on the fly" (i.e. a "stopwatch" can be activated to record the length of a consultation, for example) or manually. Either way, the time can be recorded against the appropriate matter and categorised according to the type of activity (allowing for an analysis of one's time spent on a daily, weekly or monthly basis).

How it works:

Press F10 anywhere on the Desktop and the Stopwatch screen will pop-up. To start the timer quickly, press F10 - F10 - the screen will load and the timer will start.

The Started At time will be filled in. To stop the stop watch click on the stop button, or press F10 again. The Duration will be filled in. Click on Ok.

You will now be prompted to choose the activity from a pre-set Time-based Activities list:

 The following screen will appear once you selected the activity:

You can now select whether you want a Fee Note, File Note or To Do Note created. You can also select the Employee, Cost Centre Billing Rates.

Important Notice

LawLink - MT65 - Bond Classification


It is vital that you send the MT 65 - BOND TYPE FOR LAW message correctly because if you do not complete the message correctly, it will be blocked by the L@W DSE and it will not be processed.

The MT65 - Bond Type for LAW message is used to classify the bond with LAW for the purpose of sending statistics to the banks regarding an attorney's performance in registering a bond. If there is expected to be a delay in the registration of a bond, you must send a LAW message otherwise you may be unfairly prejudiced.

If you are processing a non-Normal Bond, e.g. Development, Registration Of Scheme, Divorce etc. you can use the BOND TYPE message (65) to inform the LAW system that this is not a regular bond and it will therefore not be included in determining your performance statistics.

HOWEVER, you may only send one of the EXACT descriptions available from the lookup list in the DESCRIPTION field of the message, EG.

Deceased Estate
Development
Divorce
Further Bond
Insolvency
Normal
Ordinary Building Loan
Registration of Scheme
Section 57
Section 68
Switch
any additional information may be completed in the REASON field of the message.

IF YOU INSERT ANYTHING ELSE INTO THE DESCRIPTION FIELD (EVEN AN EXTRA SPACE) THEN THE L@W DSE WILL BLOCK THE MESSAGE AND IT WILL NOT BE PROCESSED.

It is also very important to check your blocked files on the L@W website:

Go to www.lawactive.co.za, log in with your certificate and click on Web EP Tools.  Select Blocked Error Files and choose a date range. This tool will display any messages that have been blocked and you can then correct the problem and re-send the messages.

Councils have requested that the property information for Rates Clearance Certificates to be captured in the following way:

Erf Number Only the Erf number to be captured e.g. 123A and not Erf 123A of Hurlingham
Portion Number Only the portion number e.g. 4 and not Erf 123A Portion 4 of Hurlingham
Suburb Only the suburb e.g.  Hurlingham
Property Description This field can have all of be above combined e.g. Erf 123A Portion 4 of Hurlingham

Employee Profile

Nunu

Nunu is the latest member of the LegalSuite family. She was found by Cher. The poor thing was abandoned by the side of the freeway and in bad shape. Cher immediately felt sorry for her. She has now been adopted by us as the office cat.

She is very lively and likes to climb on the dividers and destroy the pot plants. Her other favorite thing to do is to find nice hiding places like inside drawers or in the "IN and OUT" trays to sleep in, just to send the whole office on a man hunt (sorry, cat hunt) to find her.
