EVENTS

 

A new way to automate LegalSuite

 

INTRODUCTION

 

We have added a new feature called “Events”. An Event is a totally user-defined occurrence which can trigger Tasks such as inserting Fee Notes, File Notes, Reminders and notifying Parties and Employees.

 

Click on the  icon, the following screen will appear:

Select the type of group the event is going to take place.

Right click and select insert, the following screen will appear:

 

 

Fill in a Description of your event and select the correct Group and System Event. In this case we are working with receipts so our Group will be Accounting.

 

The Condition field is where you will fill in the fields on what task you would like executed. In this example we want to get notified when any receipts are captured on general files. In this case general files have a (Matter Type ID of 9) so our condition will be: MAT:MatterTypeID=9.

 

Now we need to select on how we are going to be receiving this ‘task’, right click and insert, the following screen will appear:

 

There are a few ways in which to receive a task:

·        File Note

·        Reminder

·        Fee Note

·        Notification

 

In this case we are going to select Notification. Click ‘ok’ and the following screen will appear:

 

 

 

 

 

 

 

Select your group on the left, right click and insert, the following screen will appear:

 

 

Fill in a description and method on how you would like to receive your notification. (note: this is just a description for your own reference).

 

To fill in the wording of your notification, right click and insert in the ‘Language’ box, the following screen will appear:

 

 

Fill in your description on how you would like to receive your notification. Please note when using fields from LegalSuite to include the field in (two square brackets and one round bracket).

 

 

 

Right click and insert in the next block, the following screen will appear:

 

 

Specify who you would like to send the notification to. Either:

·        Employees

·        Employee Type

·        Employee Role

·        Party Role

 

When an Event is triggered, it simply executes the Tasks associated with it.

 

Employees and/ or Parties can either be SMS’ed or if you select ‘phone’, a reminder will be set to inform you to phone the Employee or Party.

 

And there is an option to override the original method that you chose.

 

CONCLUSION

 

The creation and implementation of Events is left up to the user, but the possibilities are endless and limited purely by one’s imagination and specific needs.
